Membership Guidelines
The Stratford & District Leisure Activity Council is a volunteer association of organizations and individuals which offer and/or support leisure, recreational, and educational activities/programs.
Goals of the Council are as follows:
- To support a variety of activities for the benefit of the community.
- To inform the community of events planned, individually and collaboratively, by its members.
- To provide a forum for its members to share program information, resources and explore areas of mutual interest.
- To promote the concept that physical activity, educational opportunities and community involvement are vital to a healthy and vibrant community.
A FULL COUNCIL Member actively and fully participates in Council and is:
- A major provider of leisure, recreational and/or educational activities/programs OR
- A provincially registered non-profit or not-for-profit organization or a government agency that offers and/or supports leisure, recreational and/or educational activities/programs OR
- A major provider of reciprocal facility space to Council OR
- A citizen at large who supports leisure, recreational and/or educational activities/programs.
An AFFILIATE COUNCIL Member is welcome to participate in Council and is:
- A major provider of leisure, recreational and/or educational activities/programs OR
- A provincially registered non-profit or not-for-profit organization or a government agency that offers and/or supports leisure, recreational and/or educational activities/programs OR
- A citizen at large who supports leisure, recreational and/or educational activities/programs.
Projects of the Council include:
- Leisure Activity Handbook
- Leisure Activity Calendar
- Bulletin Board
- Newspaper Column (for Full Council members only)
Council Membership:
- Membership Year – January 1 to December 31
- Renewal Notice Issued – Annual General Meeting
- Renewal Deadline – January 31st
- Membership Options – Full Council Member or Affiliate Council Member ($50 annual membership fee)
Regular Meetings
Responsibilities of Leisure Activity Council
- Hold regular meetings;
- Share information;
- Explore areas of mutual interest and concern;
- Co-ordinate the provision of information about the Leisure Activity Council to the community;
- Respond to community needs and requests, where feasible;
- Send minutes to Full Council Members and Affiliate Members.
Responsibilities of Full Council Members
- Attend no less than 8 regularly scheduled meetings or to take on a role approved by Council;
- Exercise voting privileges at meetings;
- Assume one (1) duty per year as Chairperson (chair meeting according to standard agenda) or Secretary (record and distribute minutes);
- Share program information at each meeting;
- Provide information to appropriate persons (ie; supervisors, staff members, volunteers, Board Members, Community) so that individual agencies and the community at large will be better informed re: goals, purpose and activities of the Leisure Activity Council.
Annual General Meeting
Responsibilities of Leisure Activity Council
- Invite all Full and Affiliate members;
- Share information;
- Explore areas of mutual interest and concern;
- Distribute minutes to Full and Affiliate Council Members.
Responsibilities of Full and Affiliate members attending the AGM
- Exercise voting privileges at the AGM;
- Approve minutes from the previous AGM;
- Share program information;
- Report on projects that received LAC funding in the previous year.
Handbook
Responsibilities of Leisure Activity Council
- Determine the design and format of the Handbooks;
- Determine the number of pages/sections allotted each Council Member;
- Notify Affiliate Members availability of copy space;
- Offer on first come, first serve basis additional copy space for Affiliate Members;
- Determine the deadlines for copy;
- Determine the extent of distribution of copies and flyers;
- Reserve the right to approve, decline or edit submissions.
Responsibilities of Council Members
- Participate in the Handbook as desired and indicate any requests for alteration of copy by required dates; agencies who submit alterations late will be responsible for the costs unless the space is otherwise able to be filled;
- Provide, to Handbook Contact, by appropriate deadline: number of pages requested; number of copies required by each agency; copy for Handbook page;
- Submit payment to Council Treasurer
Calendar
Responsibilities of Leisure Activity Council
- Determine the design and format of the Calendars;
- Develop a list of appropriate agencies to be included in the Calendar;
- Determine the deadlines for copy;
- Determine the extent of distribution;
- Reserve the right to approve/decline or edit submissions to ensure that the goals of Council are maintained
Responsibilities of Council Members
- Provide copy to Calendar contact, by appropriate date;
- Submit payment to Council Treasurer
Bulletin Board
Responsibilities of Leisure Activity Council
- Maintain information that is current and up to date;
- Reserve the right to approve/decline or edit submissions to ensure that the goals of Council are maintained;
- Ensure the bulletin board is well maintained and visible as a community resource.
Responsibilities of Council Members
- Provide material to Bulletin Board contact in a timely manner for posting;
Other
Responsibilities of Leisure Activity Council
- At the discretion of the Council, to initiate special events and workshops that support the goals of Council;
- At the discretion of the Council, to invite members to apply for Local Project Funding
